Experience : 5 to 7 years work experience as a secretary or Administrative Assistant-•    Familiarity with office organization and optimization techniques-•    Proficiency in MS Office

Job responsibilities
  • As a secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.
  • You will assist colleagues and executives by supporting them with planning and distributing information.


Responsibilities
  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and Edit contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Make travel arrangements and plan end to end closure till invoicing and payment processing
  • Document expenses and hand in reports
  • Prepare and manage correspondence, reports and documents, organize and coordinate meetings, conferences, travel arrangements, maintain schedules and calendars, organize internal and external events , handle incoming emails, mail and other material
  • Set up and maintain document management systems
  • Collate information & maintain databases
  • communicate verbally and in writing to answer inquiries and provide information liaison with internal and external contacts

Requirements and skills
  • Proven work experience as a secretary or Administrative Assistant Familiarity with office organization and optimization techniques
  • High degree of multi-taskingand time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in MS Office
  • Graduate in any stream
